TERMS AND CONDITIONS

ZERO TOLERANCE POLICY:

We treat our clients with courtesy and ask the same in return.

 

Any behaviour, verbal or physical, which causes staff to feel uncomfortable, embarrassed, or threatened is totally unacceptable.

 

This policy includes aggression or threats made in person, over the telephone, or in written communication. It also includes damage to property and stealing.

 

This practice considers threatening behaviour to be:

  • Attempted or actual aggressive threatening physical actions towards any staff member or team member
  • The use of aggressive, threatening, or abusive language (including raising of the voice, swearing, cursing, shouting) which threatens and intimidates staff or team memeber
  • Persistent or unrealistic demands that cause stress to the staff

 

Individuals in violation will be asked to leave the office and will be subject to permanent refusal of travel services  provided by our agency

 

Any instance or threat of physical abuse will be reported to the police. The offender will be asked to leave and/or removed from the premises by the police.

DEPOSIT:

Guaranteed deposit at time of booking (start from $250 CAD flat rate per person- and up to 30% of total package price, and certain services require to be paid in full).

Sorry, but this deposit is NON-REFUNDABLE. Insurance, which is strongly recommended, must be purchased at time of deposit. • Please inquire for different coverage plans.

The exact amount will be advised at the time of booking.

BALANCE OF PAYMENT:

Guaranteed balance of payment required on or before 60 days prior to departure. For select products, full payment may be required earlier than this, and will be stated on the booking invoice. If the balance is not paid by the stipulated date, the right is reserved to cancel the booking(s) without further notice and without refund of deposit.

CANCELLATIONS:

Cancellations received more than 60 days prior to departure will incur loss of the non- refundable deposit as specified above. Cancellations received 45 to 59 days prior to departure will be levied a fee of 25% of the fare. Cancellations received 31 to 44 days prior to departure will be levied a fee of 50% of the fare. Cancellations received less than 30 days prior to departure will be non-refundable. Other specific supplier and airline cancellation penalties may apply in addition to cancellation and amendment fees charged by Rome Travel Agency Inc., and/or it’s supplier. There will be no refund for unused land arrangements after departure. All cancellations required in writing, and must be acknowledged by Rome Travel Agency Inc., and/or it’s supplier.

INSURANCE:

We strongly recommend Travel Insurance for all travel. Travel Insurance offers protection for unforeseen trip cancellation. Accidents and illness prior to or during travel can affect not only your trip, but may result in high medical expenses and extra costs, as can weather and flight delays. Any such expenses and costs are the traveller’s responsibility, and they shall not be entitled to any refund from Rome Travel Agency Inc., and/or it’s supplier Travel, of monies paid, for any unused or lost travel arrangements. Travel Insurance protects against such costs, subject to the insurer’s policy conditions. Some countries now require proof of adequate travel medical insurance before allowing entry. Rome Travel Agency Inc., and/or it’s supplier Travel and its subsidiaries will not be responsible for any loss or costs incurred for events that are beyond our control, and will apply any fees and charges in accordance with our Booking Conditions. We recommend Travel Insurance always; never travel without it!

FORCE MAJEURE:

We shall not be liable for any claims, losses, damages, costs, expenses, delays or loss of enjoyment, of any nature or kind whatsoever, resulting from events beyond our or a supplier’s reasonable control, including but not limited to acts of God, strikes, lockouts or other labour disputes or disruptions, wars, blockades, insurrections, riots, earthquakes, weather conditions, floods or acts or restraints imposed by government authorities.

TRAVEL DOCUMENTS:

Travel documents and tickets, joining and departure details, supplier addresses and phone contacts will be sent upon receipt of final payment. Note: Entry to another country may be refused even if the required Information and Travel Documents are valid and complete.

PASSPORTS/ VISAS:

A passport valid for six months beyond date of travel is required for entry into all countries. Visas may be required for certain countries; please inquire for details. Please check with your agent at time of booking if visas are still required for these or other countries. If you are not travelling on an American or Canadian passport, it is imperative that you also check visa requirements for all of the destinations you will be travelling to or transiting through. Ultimately, it is your responsibility to ensure you have the correct documentation.

LIVING STANDARDS AND PRACTICES AT THE DESTINATION:

These may differ from those found in your country of Origin. The standards and conditions there with respect to the provision of utilities, services and accommodation may also differ from those found in your country of origin.

PRICES:

Because of the volatility of exchange rates for many of the destinations offers, we recommend you confirm our price at time of booking. All prices are subject to change or surcharge. Once we have received your deposit you will be given the opportunity to pay in full to avoid a price increase (should it occur) or cancel your booking without penalty. No price increases are permitted after the balance is paid in full. If the total price of the travel services is increased and the cumulative increase, except any increase in retail sales tax or federal goods and services tax, is more than 7%, the customer has the right to cancel and obtain a full refund. Please note any local fees may still increase.

AMENDMENT FEES:

Once a booking has been made, any change is subject to a communications fee of $25 per change. Once documents have been issued, any change will be subject to a minimum administration fee of $50 in addition to communications charges.

BOOKING REQUIREMENTS:

With all the great travel ideas we offer, it should be easy for you to choose a long holiday. If, however you are not tempted to purchase a minimum of 7 days we regret we must charge you a booking fee of $50 per person. This will be added to your bill unless Rome Travel Agency Inc., and/or its supplier issues your international air ticket.

OPERATOR'S RESPONSIBILITY:

Rome Travel Agency Inc., and/or it’s supplier. and/or its agents, act only as agents for the client in all matters pertaining to travel. They assume no responsibility nor liability in connection with the service of any train, vessel, carriage, aircraft, motor or other conveyances which may be used, either wholly or in part, in the performance of its duty to the passenger; neither will it be responsible for any act, error, or omission, or any injury, loss, accident, delay or irregularity which may be occasioned by reason of any defect in any vehicle or through the neglect or default of any company or person engaged in conveying the passenger; or for any hotel proprietor, or hotel service, or for any other person engaged in carrying out the purpose for which tickets or coupons are issued. In the event that it becomes necessary or advisable for the comfort or well-being of the passengers, or for any reason whatsoever, to alter the itinerary or arrangements, such alterations may be made without penalty to the operators. Additional expenses, if any, shall be borne by the passengers, conversely refund will be made to the passengers if any saving is affected thereby. The Airlines concerned are not to be held responsible for any act, omission, or event, during the time passengers are not on board their planes or conveyance. The passage contract in use by the Airlines concerned, when issued, shall constitute the sole contract between the Airlines and the purchaser of these tours and/or passenger.
The right is reserved to withdraw any or all tours should conditions warrant, also to decline to accept or retain any passengers as members of the tours. Rome Travel Agency Inc., and/or it’s supplier. or agent can assume no responsibility for lost tickets or coupons.

BOOKING REQUIREMENTS:

With all the great travel ideas we offer along with our Travel Providers, it should be easy for you to choose a long holiday. If however you are not tempted to purchase, and no deposit has been applied/paid after three (3) quotations provided for the same travel dates and/or services, a “quotation/itinerary” fee will be charged to the client as a one time fee of $150.00 to continue the consultation service, however once a booking is made, the $150.00 amount will be deducted from the balance of your booked/purchased travel services.

AGENTS RESPONSIBILITY:

A Travel Agent “acts as a person who sells, to consumers, travel services provided by another person.” Rome Travel Agency Inc. Acts merely as an a for suppliers in selling travel-related services, or in accepting reservations or bookings for services that are not directly supplied by this travel agency (such as air and ground transportation, hotel accommodations, meals, tours, cruises, etc.). And therefore are subject to the terms and conditions of the supplier.

 

Rome Travel Agency Inc., is only responsible for the Rome Travel Agency’s employees and shall not be responsible for breach of contract or any intentional or careless actions or omissions on part of such suppliers, which result in any loss, damage, delay or injury to you or your travel companions or group members. The travel agent/ agency shall not be responsible for any injuries, damages, or losses caused to any traveler in connection with any terrorist activities, social or labor unrest, mechanical or construction failures or difficulties, diseases, local laws, climatic conditions, criminal acts or abnormal conditions or developments, or any other actions, omissions, or conditions outside the travel agent’s control. Travelers assume complete and full responsibility for, and hereby release the agent from any duty of, checking and verifying any and all passport, visa, vaccination, or other entry requirements of each destination, and all safety or security conditions at such destinations, during the length of the proposed travel. By agreeing to these terms set forth and to the extent permitted by law, you release us from all liability, cost, damages, claims and expenses (including direct, indirect, special and consequential loss or damage whether in negligence or otherwise) arising out of the supply or failure to supply or use or non-use of the third party products or services. If you have cause for complaint while on holiday you must bring it to the attention of your local supplier representative and/or travel agency or consultant immediately who will do their best to rectify the situation. Delay in reporting a complaint may reduce the effectiveness of your travel agency or consultant to alleviate the situation. It is unreasonable to take no action whilst on holiday but then write a letter of complaint upon return.

 

Regardless, we will endeavour to address a complaint to the supplier that has been forwarded to the travel agency or consultant within 28 days of completion of travel.
